Information We Collect

Information you provide directly. When you engage our services or contact us, we may collect:

• Your name and agency name
• Email address and phone number
• Ideal customer profile (ICP) details you share during onboarding
• Cal.com calendar credentials or booking link for integration
• Payment information (processed securely through Stripe — we do not store card numbers)
• Any other information you choose to share with us during onboarding or support

Prospect data we source on your behalf. As part of delivering our service, we source publicly available business contact data (business name, phone, email, address) from third-party data providers such as Apollo. This data is used solely to build outreach lists for your campaigns. We do not sell or share this data with third parties.

Information collected automatically. When you visit pulseforce.ai, we may collect:

• IP address
• Browser type and version
• Pages visited and time spent on our site
• Referring website

We use basic analytics to understand how visitors interact with our site. We do not use tracking cookies for advertising purposes.

How We Use Your Information

We use the information we collect to:

• Deliver, manage, and optimize your outbound lead generation campaigns
• Build prospect lists and run email outreach sequences on your behalf
• Integrate with your Cal.com calendar to route booked calls
• Process payments through Stripe
• Send weekly performance reports and campaign updates
• Respond to your support requests and inquiries
• Comply with legal obligations

We do not sell your personal information. We do not rent, trade, or share your personal information with third parties for their marketing purposes.

Third-Party Services

We use the following third-party services to operate and deliver our outbound lead generation service:

• Apollo — Prospect data sourcing. Apollo provides verified business contact data used to build your outreach lists. Apollo operates under their own privacy policy (apollo.io/privacy-policy).
• Instantly — Email sequence management and deliverability. Instantly sends and manages outbound email campaigns on your behalf. Instantly operates under their own privacy policy (instantly.ai/privacy-policy).
• n8n — Workflow automation. n8n automates campaign triggers, handoffs, and reporting workflows.
• Cal.com — Calendar integration. Cal.com is used to route booked calls directly to your calendar. Cal.com operates under their own privacy policy (cal.com/privacy).
• Stripe — Payment processing. Stripe collects and processes your payment information under their own privacy policy (stripe.com/privacy).
• Google Workspace — Business email and internal communication.

We only share the minimum information necessary for these services to function. We do not share your information with any other third parties unless required by law.

Outbound Email Compliance

Our outbound email campaigns are conducted in compliance with applicable laws governing commercial email, including the CAN-SPAM Act. All sequences sent on your behalf include:

• A clear identification of the sender
• An opt-out mechanism honored within 10 business days
• No deceptive subject lines or sender information

Prospects who opt out of outreach are permanently removed from your campaign lists and will not be re-contacted.

Data Retention

We retain your account and campaign information for as long as your account is active. Upon cancellation:

• We will provide a copy of your campaign data (prospect lists, sequence copy, performance reports) within 30 days upon request.
• We will delete your campaign data from our systems within 90 days of cancellation.
• Payment records are retained as required by applicable tax and accounting laws.
• Email communications are retained for up to 2 years for business records purposes.

Data Security

We take reasonable measures to protect your information, including:

• Access to client campaign accounts limited to authorized PulseForce personnel
• Payment processing handled entirely by Stripe's PCI-compliant infrastructure
• Secure credential management for all outreach tooling

No method of electronic transmission or storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.

Your Rights

You have the right to:

• Access the personal information we hold about you
• Correct inaccurate information
• Delete your personal information (subject to our legal retention obligations)
• Receive a copy of your campaign data upon request

Children's Privacy

Our services are intended for businesses and business owners. We do not knowingly collect personal information from anyone under the age of 13. If we become aware that we have collected information from a child under 13, we will delete it promptly.

Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify you via email. The "Last updated" date at the top reflects the most recent revision.
